Terms of Service

1. Introduction and Acceptance

Welcome to RecovrFlow. These Terms of Service (“Terms”) govern your access to and use of the RecovrFlow platform, including our website, applications, and services (collectively, the “Service”). By accessing or using the Service, you agree to be bound by these Terms. If you do not agree to these Terms, you may not use the Service.

Recovery VR PTY LTD trading as RecovrFlow, ABN 83 633 066 163 (“RecovrFlow”, “we”, “us”, or “our”) provides clinical documentation assistance tools for Allied Health Professionals operating in Australia.

2. Eligibility

The Service is intended for use by qualified Allied Health Professionals, healthcare organisations, and their authorised staff. By using the Service, you represent and warrant that:

  • You are at least 18 years of age
  • You have the legal authority to enter into these Terms
  • You will comply with all applicable laws and professional regulations in your jurisdiction

3. Account Responsibilities

You are responsible for:

  • Maintaining the confidentiality of your account credentials
  • All activities that occur under your account
  • Ensuring your account information is accurate and up-to-date
  • Notifying us immediately of any unauthorised access to your account

4. Research Papers and Intellectual Property

The Service includes a Research Library feature that allows you to upload and reference academic research papers. By using this feature, you acknowledge and agree to the following:

4.1 User Responsibility for Uploaded Content

You are solely responsible for ensuring that you have the legal right to upload any documents to the Service. This includes but is not limited to:

  • Documents you have authored yourself
  • Open Access papers published under Creative Commons or similar permissive licenses
  • Papers you have obtained through legitimate personal purchase or institutional subscription
  • Materials for which you have obtained explicit permission from the copyright holder

4.2 Document Visibility Levels

When uploading research papers, you must select a license type that determines how the document is shared. The three visibility levels are:

Open Access (Public)

Papers with Creative Commons or similar open licenses are added to RecovrFlow's shared library and made available to all RecovrFlow users. Only select this option if the paper is genuinely published under an open license that permits public sharing.

Institutional License (Organisation)

Papers uploaded under an institutional license are shared with all members of your organisation. They are not visible to users outside your organisation and are not added to any global knowledge base. You confirm your organisation has appropriate licensing to share the content internally.

Personal Copy / Unknown (Private)

Papers uploaded as personal copies are only visible to you. They are never shared with other users, organisations, or added to any knowledge base. This is the most restrictive option and is recommended when you are unsure of the licensing status.

4.3 Data Handling and AI Processing

Regardless of visibility level, all uploaded documents are:

  • Not used to train AI models or improve services for other users
  • Subject to Zero Data Retention (ZDR) for AI processing
  • Protected by Row Level Security ensuring proper access controls

4.4 Indemnification for Intellectual Property Claims

You agree to indemnify, defend, and hold harmless RecovrFlow and its officers, directors, employees, and agents from and against any claims, damages, losses, liabilities, costs, and expenses (including reasonable legal fees) arising from:

  • Your upload of copyrighted materials without proper authorisation
  • Your misrepresentation of licensing status for uploaded content
  • Any intellectual property infringement claims related to your uploaded content

4.5 DMCA and Takedown Procedures

RecovrFlow respects intellectual property rights and responds to valid takedown requests under the Digital Millennium Copyright Act (DMCA) and equivalent international procedures. If you believe content on our platform infringes your copyright, please contact us at hello@recovrflow.health
